Looking beyond returns alone A strong year is good. A strong decade is better. A strong annual return is good news. But …
Is your club managing compliance...or just managing Paperwork?
Most clubs aren’t short on compliance activity. The real challenge is knowing what has been completed, what still needs attention and who is responsible for following it up.
Behind the bar, kitchen, gaming room, functions and everyday club operations sits a growing compliance workload. There’s workplace health and safety, food safety, staff training, incidents, contractors, inspections, maintenance, policies and, for many venues, AML/CTF obligations.
Your club probably already has processes for most of these areas. But where does everything live?
Training might be tracked in a spreadsheet. Kitchen checks may be completed on paper. Incident forms are stored in a folder. Policies sit on a shared drive. Contractor documents are buried in emails. Maintenance issues are reported verbally—and food safety records are kept in yet another system.
Each process may work on its own. The difficulty comes when a Duty Manager, General Manager or Board member needs to see the club’s overall compliance position.
The problem isn’t always compliance…It’s visibility
Completing a checklist or storing a policy doesn’t necessarily mean the issue is being effectively managed.
Ask yourself:
- Were today’s required food safety checks completed?
- Which employees have training, licences or competencies approaching expiry?
- Are contractor licences, insurances and inductions current?
- Have incidents been reviewed and corrective actions closed out?
- Are scheduled inspections being completed?
- Are maintenance issues being followed through?
- Can staff easily access the latest policies and procedures?
- If a regulator, auditor or insurer requested a record today, how quickly could you find it?
If answering those questions means checking several systems, searching through folders and emails or asking multiple staff members, the problem isn’t a lack of effort. It’s that the information is fragmented.
That creates more administration for managers and makes it easier for important actions to be delayed, overlooked or assumed to be someone else’s responsibility.
Wait, there’s an App for that… More systems don’t always mean better compliance
Technology has made many compliance tasks easier, but it has also created a new problem: too many disconnected systems.
One platform manages training. Another holds incident reports. Food safety records live somewhere else, while spreadsheets, emails and paper forms fill the gaps.
The goal shouldn’t be to digitise a paper form simply for the sake of it. The real opportunity is to make compliance:
- easier for staff to complete and automated where possible;
- simpler for managers to monitor;
- clearer when something requires action; and
- faster to demonstrate when evidence is requested.
A good system should reduce administration—not move it from a filing cabinet to five different screens.
Completing the form is only the beginning
There is an important difference between completing a compliance task and managing the outcome.
Consider an incident report. Submitting the form is only the first step. The incident may also need to be reviewed, investigated and reported. Corrective actions may need to be allocated and then monitored until they are completed.
The same applies across club operations:
- A food safety check is completed, but who is alerted when a check is missed or a result is outside the acceptable range?
- An employee completes training, but who knows when their refresher or competency is due?
- A contractor supplies an insurance certificate, but who monitors its expiry?
- A hazard is reported, but how does management know it has been controlled?
- A maintenance issue is raised, but can the Duty Manager see whether it remains outstanding?
The value lies in connecting what happens on the floor with the oversight needed at management level.
Make it easy for the people doing the work
Even the best-designed compliance process will struggle if it is difficult, confusing or time-consuming for staff to use.
Reporting a hazard, completing an opening check, accessing a procedure or recording an incident should be straightforward. Staff should only see the information and tasks relevant to their roles, with clear instructions about what is required.
Managers need an equally simple view: what has been completed, what is overdue, what requires attention and where the supporting records can be found.
When the process is easy to use, staff are more likely to engage with it—and managers spend less time chasing paperwork.
Bringing the bigger picture together
This is the thinking behind ComplianceTrackr, developed by Safety Mates Australia.
ComplianceTrackr brings key areas of club compliance into one platform, including:
- workplace health and safety;
- food safety;
- staff training;
- audits and inspections;
- incident and hazard reporting;
- contractor management;
- policies and document control;
- equipment and maintenance;
- chemical management; and
- AML/CTF compliance.
Staff can complete relevant tasks and access current information through the app. Managers can use a central dashboard to monitor activity, identify gaps and access records when they are needed.
It isn’t about replacing good people, practical processes or professional advice. It is about giving those people a clearer and more manageable way to support the club.
Start with one question
You don’t need to overhaul every compliance process tomorrow. Start by asking:
How easily can we see our club’s compliance position right now?
If the answer involves checking multiple spreadsheets, systems, folders, emails and pieces of paper, there may be an opportunity to simplify.
Compliance will always be part of running a club. Managing it doesn’t have to be complicated.
